What You'll Do
- Create, update, and maintain hardware and software asset records in ServiceNow throughout the complete lifecycle
- Order, receive, inspect, tag, inventory, stock, assign, transfer, recover, and retire technology assets in accordance with approved procedures
- Validate key asset data, including serial number, asset tag, model, location, assigned user, ownership, cost center, purchase information, state, substate, warranty, and lifecycle dates
- Reconcile ServiceNow asset records with physical inventories, procurement records, endpoint or discovery data, and other approved source systems; investigate and resolve discrepancies
- Process ServiceNow requests and tasks for onboarding, offboarding, device deployment, equipment transfers, returns, refreshes, repairs, lost or stolen assets, and disposal
- Maintain chain-of-custody documentation and supporting records for asset transfers, returns, legal holds, data-bearing devices, and disposition activities
- Coordinate asset recovery during employee separation and reclaim reusable hardware and software licenses when applicable
- Support stockroom operations, including minimum and maximum inventory levels, cycle counts, staging, reservations, shipping, receiving, and storage controls
- Prepare and execute bulk asset data updates using approved templates and data-quality controls; document and correct rejected or incomplete records
- Support hardware refresh planning by identifying aging, warranty, unsupported, and end-of-life assets and maintaining accurate refresh status in ServiceNow
- Work with approved vendors to obtain and evaluate equipment quotes, confirm pricing and availability, and support the procurement of hardware, software, accessories, and related technology equipment in accordance with company purchasing requirements
- Coordinate repair, warranty, return merchandise authorization, recycling, resale, donation, and other approved disposition activities with vendors and internal teams
- Maintain certificates of destruction, disposition documentation, shipping records, and other audit evidence required by policy or process
- Produce ServiceNow reports and dashboards for inventory, ownership, lifecycle status, refresh readiness, exceptions, compliance, and data quality
- Identify process gaps and recurring data issues, recommend corrective actions, and contribute to standard operating procedures, work instructions, and continuous improvement
- Protect confidential information and follow IT security, records retention, change management, procurement, and asset management requirements
- Communicate clearly with employees, site contacts, vendors, and cross-functional teams to resolve asset-related requests and exceptions

- Travel to company locations and work in office or industrial environments as business needs require
- Working knowledge of ServiceNow or a comparable cloud-based ITSM platform, including asset records, requests, tasks, stockrooms, reporting, and lifecycle states
- Understanding of IT asset management practices for hardware, software, accessories, mobile devices, peripherals, and data-bearing equipment
- Knowledge of asset and configuration management concepts, including the relationship between asset records and configuration items (CIs)
- Familiarity with vendor management, equipment quotes, procurement, purchase requests, receiving, warranties, repairs, inventory control, refresh, recovery, and secure disposition processes
- Proficiency with Microsoft 365 applications, especially Excel, Outlook, Teams, and Word; experience using data extracts, filters, lookups, and reconciliation workbooks
- Basic understanding of end-user computing hardware, operating systems, peripherals, networking, and endpoint management or discovery tools

- On-time completion of onboarding, offboarding, refresh, audit, and asset request tasks
- Compliance with chain-of-custody, data protection, legal hold, records retention, and disposition requirements
- Stockroom accuracy, equipment recovery, asset reuse, and reduction of aged or unassigned inventory
- Quality and timeliness of reports, dashboards, documentation, and audit evidence
- 2 or more years of experience in IT asset management, inventory control, desktop support, IT service management, procurement operations, or a related field preferred
- Hands-on experience with ServiceNow asset management, ITSM workflows, or a comparable enterprise platform preferred
- Experience performing physical inventory, data reconciliation, reporting, shipping and receiving, or equipment lifecycle activities preferred
- ITIL, ServiceNow, Certified Hardware Asset Management Professional (CHAMP), or other IT asset management training or certification is a plus
Your Education
- Associate or bachelor’s degree in Information Technology, Business, Supply Chain, or a related field preferred
- Relevant professional experience may be considered in lieu of a degree
